How to Improve Email Deliverability and Stay Out of Spam
You can write the perfect email, but it only works if it reaches the inbox. Deliverability - the science of not landing in spam - is one of the most overlooked parts of business email. Here is how to keep your messages where they belong.
1. Authenticate your domain
This is the single biggest factor. Set up SPF, DKIM and DMARC so receiving servers can verify your mail is genuine. Without them, even legitimate messages get treated with suspicion. Our guide SPF, DKIM and DMARC explained walks through it.
2. Use a reputable email host
Deliverability depends partly on the reputation of the servers you send from. A quality business email host maintains clean sending infrastructure and good relationships with major providers, so you inherit a strong starting reputation - unlike cheap shared setups that can be blacklisted by a bad neighbour.
3. Send from a real, consistent address
Send from a proper address on your domain (you@yourcompany.com), not a spoofed or constantly changing one. Consistency builds sender reputation over time.
4. Keep your lists clean
If you send newsletters or bulk mail:
- Only email people who opted in
- Remove hard bounces and inactive addresses regularly
- Make unsubscribing easy - it is better than being marked as spam
High bounce rates and spam complaints are the fastest way to wreck deliverability.
5. Mind your content
Spam filters read your message too. Avoid the classic triggers:
- ALL CAPS subject lines and excessive punctuation!!!
- "Too good to be true" phrasing
- One giant image with no text
- Lots of shortened or mismatched links
Write like a human, not a billboard.
6. Warm up gradually
If you are sending larger volumes for the first time, ramp up slowly rather than blasting thousands of messages on day one. Sudden spikes look like spam behaviour.
7. Monitor and adjust
Watch your DMARC reports and any bounce feedback. They tell you who is sending as your domain and where problems are appearing, so you can fix issues before they hurt.
