How to Stop Spam and Phishing in Business Email

Spam wastes time; phishing costs money. For a business, a single convincing phishing email can lead to a wire fraud, a leaked password or ransomware. The good news is that most attacks are stoppable with a few layers of defence. Here is how to lock down your business email.

1. Use a host with real filtering

Free or hosting-bundled email often has weak filtering. A dedicated business email provider runs multi-layer filtering - reputation analysis, heuristics and machine learning - that blocks the vast majority of spam, phishing and spoofing before it reaches the inbox. This is the single biggest lever.

2. Authenticate your domain

3. Turn on two-factor authentication

Most account takeovers start with a stolen password. 2FA stops them cold by requiring a second factor. Enforce it across every mailbox in your organisation - not just admins.

4. Add anti-virus scanning

Malicious attachments are a common delivery method. Ensure inbound and outbound attachments are scanned in real time so infected files never reach a colleague or a client.

5. Watch for unusual logins

Geo login protection and account monitoring flag sign-ins from unexpected locations or devices, so a compromised password is caught before damage is done.

6. Train your team (the human layer)

Technology stops most attacks; people catch the rest. Teach your team to:

  • Hover over links before clicking, and check the real domain
  • Be suspicious of urgency ("pay this invoice now")
  • Verify any change of bank details by phone, never by email alone
  • Report suspicious messages rather than delete them silently

7. Keep recoverable backups

If something does slip through, daily backups with point-in-time recovery let you restore a mailbox quickly - a vital safety net against ransomware and accidental deletion.
