What Is SMTP? How Email Sending Actually Works

Every email you send passes through SMTP - yet most people have never heard the term. Understanding it takes a couple of minutes and helps demystify how business email works and why some messages land in spam. Here is the plain-English version.

What is SMTP?

SMTP stands for Simple Mail Transfer Protocol. It is the standard your email uses to send and deliver messages between servers. When you hit "send," your mail client hands the message to an SMTP server, which routes it across the internet to the recipient's mail server.

In short: SMTP is for sending. IMAP and POP are for receiving.

SMTP vs IMAP vs POP

These three protocols are often confused, but they do different jobs:

SMTP - sends your outgoing mail and moves it between servers
IMAP - retrieves and syncs your mail across devices (keeps it on the server)
POP - downloads your mail to one device

How a message travels

You write an email and press send.
Your client connects to your provider's SMTP server.
The SMTP server looks up the recipient domain's MX records to find their mail server. (More on those in what are MX records.)
It delivers the message to that server.
The recipient's client fetches it via IMAP or POP.

Why SMTP matters for deliverability

Because SMTP handles sending, the reputation and configuration of your SMTP server directly affect whether your mail reaches the inbox. Mail sent from clean, well-managed servers with proper authentication is trusted; mail from questionable sources gets filtered. A note on security

Modern SMTP connections should be encrypted with TLS, so your messages are protected as they are sent. Any reputable business email provider uses encrypted SMTP by default.
