How to Migrate from Zoho Mail to DigiCloudMail

Switching your business email away from Zoho Mail sounds daunting, but with the right sequence it is smooth and your team never loses access. Here is exactly how a migration to DigiCloudMail works.

Before you start

Have these ready:

  • A list of every mailbox, alias and group on Zoho
  • Admin access to your Zoho account
  • Access to your domain's DNS (to update records at cutover)

It is also a good moment to retire mailboxes you no longer need.

Step 1: Set up DigiCloudMail (don't switch yet)

We create your domain and mailboxes on DigiCloudMail first, while your MX records stay pointed at Zoho. Mail keeps flowing to your existing inboxes, so nothing changes for your team during preparation.

Step 2: Sync mail, contacts and calendars

Using a guided migration, we securely connect to Zoho and copy everything - messages, folders, contacts and calendars - into DigiCloudMail in the background. Your team keeps working normally while it runs.

Step 3: Verify

We spot-check migrated mailboxes to confirm folder structure, recent messages, contacts and calendar entries all arrived correctly.

Step 4: Update authentication and MX records

We help you set the correct SPF, DKIM and DMARC records for DigiCloudMail (see email authentication explained), then update your MX records to point to DigiCloudMail (more on those in what are MX records). New mail now lands in your new inboxes - already full of your history.

Step 5: Delta sync

Any messages that arrived in Zoho during the switch are captured by a delta sync, so nothing is missed in the changeover window.

Step 6: Decommission Zoho

After a safe buffer, you can close your Zoho account. Keep an export first if your retention policy requires it - see email retention policy for business.
