How to Migrate from Google Workspace to DigiCloudMail

DigiCloudMail TeamJuly 21, 2026 2 min read

Google Workspace is capable, but many teams switch away for a simpler, more affordable email setup without the wider office suite. If email is your main need, moving to DigiCloudMail is straightforward - and with the right sequence, your team never loses access. Here is how the migration works.

Before you start

Gather a few things:

  • A list of every mailbox, alias and group you use
  • Admin access to your Google Workspace account
  • Access to your domain's DNS settings (to update records later)

This is also a good moment to retire mailboxes you no longer need.

Step 1: Set up DigiCloudMail (don't switch yet)

We create your domain and mailboxes on DigiCloudMail first. Crucially, your MX records stay pointed at Google for now, so mail keeps flowing to your existing inboxes while we prepare the move. Nothing changes for your team yet.

Step 2: Sync your mail, contacts and calendars

Using a guided migration, we securely connect to Google Workspace and copy everything - messages, folders, contacts and calendars - into DigiCloudMail in the background. Your team keeps working in Google as normal while this runs.

Step 3: Verify

We spot-check migrated mailboxes to confirm folder structure, recent messages, contacts and calendar entries all arrived correctly.

Step 4: Update authentication and MX records

We help you set the correct SPF, DKIM and DMARC records for DigiCloudMail (see email authentication explained), then update your MX records to point to DigiCloudMail. New mail now lands in your new inboxes - already populated with your history.

Step 5: Delta sync

Any messages that arrived in Google during the switch are captured by a delta sync, so nothing is missed in the changeover window.

Step 6: Decommission Google Workspace

After a safe buffer, you can cancel Google Workspace. Keep an export first if your retention policy requires it.

Why it's painless

The whole approach is designed around one principle: never switch before the data is ready. Because both systems run side by side until cutover, there is no downtime and no gap in your mail. It is the same zero-downtime method we describe in our general migration guide.

We can run it for you

Prefer not to manage the move yourself? Our team handles the connection, sync, record changes and delta sync end to end, so switching is invisible to your users.
