Privacy Policy

DigiCloudMail is a business email service operated by Tanna's, Ahmedabad, India (“DigiCloudMail”, “we”, “us”). This policy explains what personal data we handle when you use our email service, the DigiCloudMail app for iPhone and Android (“the app”), and this website, and the choices you have.
Who is responsible for your data
DigiCloudMail accounts are created by an organisation (usually your employer) for its people. For the contents of your mailbox — emails, contacts, calendar events and files — your organisation decides how they are used, and we process them on its behalf to provide the service. For the website and for data the app needs to work (described below), DigiCloudMail is responsible.
The mobile app
What the app handles
- Your email address and password. Used to sign in to your DigiCloudMail mailbox. They are stored in the secure storage of your device (Keychain on iPhone, Keystore on Android).
- Your mail, contacts and calendar. The app reads and changes these directly on your organisation's DigiCloudMail mail server. A copy of recently viewed items is kept on your device so the app works offline. We do not copy your mailbox anywhere else.
- Notification data. To tell you about new mail, our notification service stores your email address, an encrypted copy of your sign-in details, a push token for your device and its platform (iOS or Android). When new mail arrives it sends a notification showing the sender and subject.
Service providers
- Push notifications are delivered through Expo, Apple Push Notification service (iPhone) and Firebase Cloud Messaging (Android). These services receive the notification text and your device's push token.
- Translate and Suggest replies are optional. Only when you tap one of them, the text of that message is sent to Anthropic (the provider of the Claude AI model) to produce the translation or reply suggestions. The result is shown to you and not stored by us. We keep a daily count of these requests per account to prevent abuse. Your organisation's admin can switch these features off.
- Hosting. Our notification service runs on Vercel and its database on Hostinger.
What the app does not do
- No advertising, and no advertising identifiers.
- No tracking across other companies' apps or websites.
- No analytics or crash-reporting SDKs.
- We do not sell or rent personal data.
- Your device contacts, photos and files are only accessed when you choose to (for example, to attach a file or share into the app) and are not uploaded anywhere else.
Signing out and deletion
When you sign out of the app, the notification record for that device is deleted, and once no device is signed in to the account, its stored sign-in details are deleted too. If your password is changed, the app signs out and the stored details are removed. Uninstalling the app removes everything it stored on the device. Your mailbox itself is created and deleted by your organisation's admin — contact them, or us, to have an account deleted.
The email service
We store and process the email, contacts, calendars and files in your mailbox only to provide the service to your organisation: delivering and receiving mail, filtering spam and malware, backups, and support when your organisation asks for it. Data is encrypted in transit (TLS). We keep it for as long as your organisation keeps the account, and delete it after the account is closed, subject to backup cycles and legal requirements.
This website
- Analytics. We use Google Analytics to understand how visitors use the site (pages viewed, approximate location, device type).
- Contact form. When you send us an enquiry, the details you enter are delivered to us by email through Web3Forms and used only to reply to you.
Security
All connections use HTTPS/TLS. Sign-in details held by our notification service are encrypted with AES-256. The app can be locked with Face ID, Touch ID or your device passcode, and your organisation can require it.
Your rights
You can ask for access to, correction of, or deletion of your personal data, and object to its use, under the laws that apply to you (including India's Digital Personal Data Protection Act, 2023 and, where relevant, the GDPR). For mailbox data we will work with your organisation, which controls it. Write to us at support@digicloudmail.com.
Children
DigiCloudMail is a business service and is not directed at children under 13 (or the minimum age in your country).
Changes
If we change this policy we will update the date above, and for significant changes we will tell account admins.
