Email Storage Full? How to Free Up Space
A full inbox isn't just untidy - once a mailbox hits its storage limit, new mail starts bouncing and you miss important messages. Here's how to free up space quickly and stop it happening again.
First, confirm it's really full
If people report their emails to you are bouncing, or you can't send, check your mailbox usage (your webmail or admin panel shows it). A "mailbox full" or "quota exceeded" bounce is the giveaway - see email bounce messages explained.
Where the space actually goes
Most mailbox space is attachments, not text. The biggest culprits:
- Large attachments in received mail
- Sent items - you keep a copy of everything you send, attachments included
- Newsletters and automated mail
- Big threads nobody deletes
How to free up space fast
- Sort by size. Most mail clients let you sort or search by message size. Find the biggest emails first - deleting a handful of large ones frees more than hundreds of small ones.
- Clear the Sent folder. It's often as large as the inbox. Delete or archive old sent items with big attachments.
- Empty Trash and Spam. Deleted mail often still counts until the trash is emptied.
- Delete old newsletters and automated mail in bulk.
- Save big files elsewhere. Move important attachments to shared storage, then delete the email copy.
Don't lose anything important
Before mass-deleting, make sure anything you need is backed up or exported - see how to back up and export your business email. With reliable provider backups, you can clear space confidently.
Stop it happening again
- Right-size your storage to how your team works - see email storage for business explained
- Choose per-mailbox storage you can scale, so heavy users get more without disrupting everyone
- Use shared drives for large files instead of emailing them
- Set retention rules on high-volume shared mailboxes - see email retention policy for business
- Unsubscribe from newsletters you don't read - see how to reduce inbox overload
