How Many Email Accounts Does Your Business Need?

DigiCloudMail TeamOctober 3, 2026 2 min read

When you set up business email, one of the first questions is: how many accounts do we actually need? Buy too many mailboxes and you overpay; too few and people share logins or miss mail. Here is a simple way to plan it right.

Mailboxes vs aliases vs shared mailboxes

The key to not overpaying is knowing the difference - because only true mailboxes usually cost per-seat:

  • Individual mailbox - a real inbox with its own login, for each person. This is what you pay per.
  • Alias - an extra address that points into an existing mailbox, usually free. Great for role or campaign addresses one person handles. See email aliases vs shared mailboxes.
  • Shared mailbox - one inbox a team works together, for functions like support@. See shared mailboxes and team collaboration.

Step 1: One mailbox per person

Give every employee who sends and receives email their own mailbox. Never share a single login between people - it is a security and accountability problem, and it breaks audit trails.

Step 2: Decide role addresses - alias or shared?

For addresses like sales@, support@, info@, billing@, careers@:

  • Handled by one person? Use an alias into their mailbox - no extra cost.
  • Handled by a team? Use a shared mailbox so everyone can see and reply.

This is where most businesses accidentally overspend - creating full paid mailboxes for role addresses that only need a free alias.

Step 3: Plan for growth and departures

  • Add mailboxes as you hire - it should take seconds in a good admin panel.
  • Have a clean process for when people leave: disable the mailbox, forward or convert it to shared, and keep the data with the business. See onboard and offboard employee email securely.

Step 4: Add a catch-all (optional safety net)

A catch-all captures mail sent to mistyped or non-existent addresses, so a customer's typo does not bounce. Point it at a low-traffic mailbox someone reviews. See catch-all vs individual mailboxes.

A quick example

A 10-person company often needs:

  • 10 individual mailboxes (one per person)
  • A handful of aliases (sales@, info@, careers@) pointing to the right people - free
  • 1-2 shared mailboxes (support@, accounts@) for team functions
  • Optional catch-all as a safety net

That is far cheaper than buying 15+ full mailboxes for every address.
