Transactional vs Marketing Email: What's the Difference?
Not all email is the same. A password reset and a promotional newsletter are worlds apart in purpose, urgency and the rules that govern them. Confusing the two - or sending them the same way - can hurt your deliverability and even your reputation. Here's how they differ.
What is transactional email?
Transactional email is triggered by a user's action and delivers information they expect and need:
- Order and shipping confirmations
- Password resets and security codes
- Invoices and receipts
- Account notifications
It's one-to-one, expected, and time-sensitive. It must always be delivered.
What is marketing email?
Marketing email is promotional and sent to many people at once:
- Newsletters
- Product announcements and offers
- Re-engagement campaigns
It's one-to-many, not strictly expected, and governed by consent and unsubscribe rules.
Why the distinction matters
Deliverability: Marketing email is sent in bulk and attracts more spam complaints and unsubscribes. If it shares the same sending reputation as your transactional mail, a bad campaign can push your critical emails (like password resets) into spam too.
Rules and consent: Marketing email requires opt-in and an easy unsubscribe. Transactional mail is sent because of a specific action and follows different expectations.
Reputation: Keeping them separate protects the reputation your important, must-deliver mail depends on.
The best practice: keep them separate
- Send everyday business and transactional email through your business email host - reliable, secure, inbox-first.
- Send bulk marketing through a dedicated marketing/newsletter tool, ideally from a subdomain, to protect your main domain's reputation. See what is a subdomain for email.
Both still rely on proper authentication - SPF, DKIM and DMARC - to land in the inbox. See email authentication explained.
