Catch-All vs Individual Mailboxes: Which Should You Use?

DigiCloudMail TeamSeptember 24, 2026 2 min read

When setting up email on your domain, you face a choice: create an individual mailbox for every address, or use a catch-all that scoops up everything sent to your domain. Both have their place - and the wrong choice can mean missed mail or a spam magnet. Here is how to decide.

What is an individual mailbox?

An individual mailbox is a real inbox for a specific address - jane@yourcompany.com, sales@yourcompany.com - each with its own storage and login (or shared access). Mail to that exact address goes there; mail to an address you never created simply bounces.

What is catch-all?

A catch-all delivers any message sent to your domain - including addresses that do not exist - to one designated mailbox. Email to a mistyped or made-up address (jhon@ instead of john@, or random@) still gets caught rather than bounced. See what is catch-all email.

Pros and cons

Individual mailboxes

  • ✅ Clean, predictable - only real addresses receive mail
  • ✅ No surprise spam from random addresses
  • ❌ Mail to a typo'd address bounces (a customer's message could be lost)

Catch-all

  • ✅ Never lose a message to a typo or an address you forgot to create
  • ✅ Handy for flexible or campaign addresses
  • ❌ Catches a lot of spam, since spammers blast random addresses at domains
  • ❌ Can bury real mail in noise if pointed at a busy inbox

The setup most businesses actually want

For most companies, the best approach is a hybrid:

  1. Create individual mailboxes and aliases for every address you actually use (people, plus roles like sales@, support@, billing@). See email aliases vs shared mailboxes.
  2. Optionally enable catch-all pointed at a low-traffic mailbox that someone reviews occasionally - so genuine typos are recovered without drowning a main inbox in spam.

This gives you clean primary inboxes and a safety net.

Keep catch-all clean with good filtering

If you use catch-all, strong spam filtering is essential to keep the junk manageable - see how to stop spam and phishing. Without it, a catch-all inbox quickly becomes unusable.
