How to Set Up Email Filters and Rules
If you spend the first ten minutes of every day sorting mail, filters and rules can do that work for you. Here's how they work and how to set them up for a calmer inbox.
What filters and rules do
A filter (also called a rule) watches incoming mail and acts on messages that match conditions you choose - automatically, before you even see them. Typical actions:
- Move a message to a folder
- Label or flag it
- Mark as read or star it
- Forward it to a colleague - see email forwarding explained
- Mark as spam or block the sender
Useful rules to start with
- Newsletters → a "Read later" folder, so they're out of your main view - see how to reduce inbox overload
- Invoices and receipts → an "Accounts" folder
- Mail from key clients → flagged or starred so it stands out
- Automated notifications → their own folder, marked read
- Internal mail from your own domain → a "Team" label
How to build a filter
Most webmail and mail apps follow the same pattern:
- Open Settings → Filters / Rules
- Create a new rule and set the conditions (from, subject, contains)
- Choose the actions (move, label, mark)
- Optionally apply it to existing mail, then save
Start simple with one or two high-value rules, then add more as you spot patterns.
Filters vs shared mailboxes
Filters organise your own inbox. If several people need to work from the same address - like sales@ or support@ - a shared mailbox is the better tool. See shared mailboxes and team collaboration.
A tidy inbox, on autopilot
Good filters turn a chaotic inbox into an organised one without any daily effort. DigiCloudMail's webmail makes it easy to create rules, folders and labels so your mail sorts itself.
